Responsibilities:

The Commercial Project Administrator is responsible for assisting the commercial construction team by performing various “behind the scenes” and on-the-job meeting tasks. You are the glue that keeps the organization of assigned jobs together.

 Essential Functions/Major Responsibilities: 
  • Jobsite Walkthroughs – site meetings
  • Record attendance and meeting minutes
  • Knowledge of project, drawings and specs
  • Assist PM with change requests and change orders
  • Fill in for project managers when they are on vacation, in conjunction with the project engineer
  • Organize and maintain Box Office
  • Create and maintain folders
  • Break out and save drawings
  • Create O&M manuals
  • Create and issue subcontracts
  • Create AIA contracts
  • Create jobsite binders
  • Generate proposals and RFPs
  • Monitor project schedule
  • Assist project manager and project engineer
  • Monitor job performance and financials
  • Monitor est. vs. actual reports monthly with the project manager and project engineer
  • Notify the project manager when jobs are trending poorly
  • Produce and send customer statements
  • Obtain and maintain subcontractor compliance documents
  • Add subcontractors to SmartBid
  • Invoicing
  • Organize job handoffs and job close-out meetings
  • “In the weeds” of jobs that the project manager is assigned
    • Go-to person for all things administrative in nature on assigned jobs
 Knowledge, Skills & Abilities: 
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment.
  • Proficiency in Sage 300 is preferred but not required.
  • Proficiency in SmartBid is preferred but not required.

We’re growing our Commercial Construction Division! You’ll be leading and managing Commercial Construction Projects like hotels and churches. If you have prior experience with hotel and/or church construction we’ll take a look at you first.

 About You: 
  • The buck stops with you! Relationships with architects, subcontractors, employees, and customers is at the heart of this job and your expertise will make or break every job.
  • Scheduling and timelines are how we make our projects their most successful; we’ll expect you to understand what Gantt charts are and how to utilize them.
  • Beating your budget is always the goal, but only if it benefits both the client and the company… we expect you to always budget in an ethical manner.
  • Reading and understanding blueprints, specs, and plans is a major portion of this job, so you’ll need at least 5 years at a construction superintendent level or greater
  • And Change Orders! You’ll need to be able to update the scope of work with changes, but also get approval for budget changes from clients.
  • Expect to juggle 2-4 construction projects at any given time, so being able to manage your time (and everyone else’s) effectively will be crucial to success.
  • Don’t expect to swing a hammer; this position is office-focused and includes a lot of meetings
  • The Superintendent of each job will be reporting directly to you as the Project Manager; experience managing a team will be important.
 Got to Have: 
  • 5 years of Construction Experience at the Superintendent or higher level
  • Employee supervision experience
  • Blueprint reading and take-offs
  • English fluency
  • Valid Driver’s License
  • Ability to use business technology, including Microsoft Office and Microsoft Project
  • High School or equivalent
Nice to Have: 
  • Experience with Sage 300 or Timberline software
  • Experience drafting, selling, or estimating construction projects
  • Project Management certification
  • Associate or Bachelor’s degree

We’re growing our Commercial Construction Division! You’ll be in charge of taking the lead on your own estimates for our large Commercial Construction Projects like hotels and churches.

Our perfect candidate has been estimating for commercial construction projects for at least 3-5 years, has management experience, and wants the opportunity to GROW our Commercial Construction Division.

 As an Estimator: 
  • Finances are at the heart of this job. Your goal is to make sure every estimate is attainable and profitable. If you don’t love numbers, don’t apply!
  • Relationships with subcontractors and employees are a part of this job and your soft skills and expertise will increase accurate estimates. You will be responsible for pulling together and organizing estimates.
  • Strong estimates are built by analyzing the bids from all the subcontractors and vendors. One of your superpowers is being able to compare bids and determine which is the best fit for every project.
  • Reading and understanding blueprints, specs, and plans is a major portion of this job, so you’ll need at least 5 years at a construction superintendent level or greater.
  • Expect to juggle 3-6 estimating projects at any given time, so being able to manage your time (and everyone else’s) effectively will be crucial to success.
  • Don’t expect to swing a hammer; this position is office-focused and includes a lot of meetings.
