Responsibilities:
The Commercial Project Administrator is responsible for assisting the commercial construction team by performing various “behind the scenes” and on-the-job meeting tasks. You are the glue that keeps the organization of assigned jobs together.
Essential Functions/Major Responsibilities:
- Jobsite Walkthroughs – site meetings
- Record attendance and meeting minutes
- Knowledge of project, drawings and specs
- Assist PM with change requests and change orders
- Fill in for project managers when they are on vacation, in conjunction with the project engineer
- Organize and maintain Box Office
- Create and maintain folders
- Break out and save drawings
- Create O&M manuals
- Create and issue subcontracts
- Create AIA contracts
- Create jobsite binders
- Generate proposals and RFPs
- Monitor project schedule
- Assist project manager and project engineer
- Monitor job performance and financials
- Monitor est. vs. actual reports monthly with the project manager and project engineer
- Notify the project manager when jobs are trending poorly
- Produce and send customer statements
- Obtain and maintain subcontractor compliance documents
- Add subcontractors to SmartBid
- Invoicing
- Organize job handoffs and job close-out meetings
- “In the weeds” of jobs that the project manager is assigned
- Go-to person for all things administrative in nature on assigned jobs

You’ll be responsible to provide on-site day-to-day support to the Commercial Superintendent by managing day-to-day tasks for in-house labor and/or sub-contractors.
Essential Functions / Major Responsibilities:
- Work under the direction of the Superintendent and Project Manager.
- Communicate with the Superintendent each morning for that day’s list of tasks.
- Co-ordinate/lead the crew of carpenters/laborers for each day’s tasks to relieve the Superintendent of labor management needs.
- Self-perform work as needed.
- Maintain safety and quality standards.
- Basic understanding of the job site plans, job contract, and subcontractors.
- Perform various layout tasks and confirm performed work based on job drawings.
- Assist in keeping Subcontractors on task by ensuring they understand the details of work to be completed each day.
- Communicate any requests for leaving a job task or job site early to the Superintendent.
- Communicate any issues with laborers/Subcontractors to the Superintendent and/or Project Manager. This includes but is not limited to safety, quality, harassment, etc.
- Resolve minor problems as they arise.
- Supervise the use of machinery and equipment.
- Coach in-house Team Members as needed.
Accountability:
- Second “Go to guy” for the duration of the job.

Job Scope:
The Commercial Superintendent Assistant is solely responsible for and will be held accountable for the day-to-day operations of the project. The Commercial Superintendent Assistant will oversee quality control and safety of all subcontractors and labor. The Project Superintendent will give guidance to the Commercial Superintendent Assistant for the coordination of work directed in the field. The Commercial Superintendent Assistant will enforce job site quality control and safety programs to ensure quality completion of construction
Supervisory Responsibility:
The Commercial Superintendent Assistant shall supervise all subcontractors on a daily basis. This supervision shall ensure adequate manpower is available for each task and compliant work performed. This position shall be responsible for monitoring project security.
Knowledge, Skills & Abilities:
- Provide direction to and resolve problems amongst 30+ subcontractors and vendors.
- Ability to identify deficient work and provide resolution.
- Communicate using the following tools: telephone, written logs, email, computer and digital camera.
- Blueprint reading.
- Physically lift up to 100 lbs.
- Endurance and ability to visit the entire job site, including stairs or other elevated structures.

You’ll be responsible for managing all job site aspects including coordinating subcontractors, materials, and equipment, ensuring that specifications are met for scheduling, inspections, quality control, and job site safety.

Responsibilities:
- Taking full job site responsibility of the job once it is handed off by the Project Manager.
- Create a detailed schedule every two weeks and maintain the overall schedule from start to finish.
- Understand, follow, and enforce subcontract agreements and contracts.
- Schedule subcontractors according to the job schedule.
- Communicate product selection deadlines to sales and customers based on job schedule and follow up as needed if either is not meeting deadlines.
- Material takeoffs and orders.
- Special order takeoffs and ordering and review of submittals and follow up on final decisions.
- Assist in creating change requests if selections made exceed the estimate/differ from the contract description.
- Assist in creating change requests for additional alterations outside of the contract scope. ○ Obtaining quotes from subcontractors as needed.
- Identify and Issue subcontract change orders if changes are outside of the subcontract scope
- Having an understanding of current job costs compared to estimate
- Lead job Foreman on questions/issues as needed.
- Enforce safety requirements and job site cleanliness (laborers and subcontractors).
- Address performance issues with laborers, subcontractors, vendors, etc. as needed.
- Create final punch lists as needed with customers.
- Oversee and manage job site quality control.
- Attend job site meetings.
- Generate RFI’s by submitting them to the Project Manager.
- Create daily detailed job logs/daily work reports.
- Enforce local codes and ADA requirements.
Education & Experience:
- Construction experience in the field (have you swung a hammer at a job site?)
- Basic understanding of construction best practices in one or more trades, like carpentry, HVAC, plumbing, electrical, or roofing
- Second-nature with technology
- English fluency

- Valid Driver’s License

Our perfect candidate has been estimating for commercial construction projects for at least 3-5 years, has management experience, and wants the opportunity to GROW our Commercial Construction Division.
As an Estimator:
- Finances are at the heart of this job. Your goal is to make sure every estimate is attainable and profitable. If you don’t love numbers, don’t apply!
- Relationships with subcontractors and employees are a part of this job and your soft skills and expertise will increase accurate estimates. You will be responsible for pulling together and organizing estimates.
- Strong estimates are built by analyzing the bids from all the subcontractors and vendors. One of your superpowers is being able to compare bids and determine which is the best fit for every project.
- Reading and understanding blueprints, specs, and plans is a major portion of this job, so you’ll need at least 5 years at a construction superintendent level or greater.
- Expect to juggle 3-6 estimating projects at any given time, so being able to manage your time (and everyone else’s) effectively will be crucial to success.
- Don’t expect to swing a hammer; this position is office-focused and includes a lot of meetings.
- You’ll be reporting to the Commercial General Manager.
